2021 BOD & Membership Meeting Minutes:

BOD Meeting Minutes, January 5, 2021

Present:  Steve Bringman, Helen Berott, Cathy Vaillancourt, Dennis Vaillancourt, Sarah Solberg, Joel Baynes, Eric Butler, Patti Kingston.

 

The meeting was called to order by President Steve Bringman at 1:10pm

Presidents Report & Announcements:

  .  New BOD members were introduced and thanked for their service

  .  If there are outsiders on the courts, call Curator rather than deal with it.

  .  Joel to assist in organizing ball machine practice

  .  Steve looking for a volunteer to organize a ladies drop in on Thursdays.

  .  Patti will assist in planning the Grand Opening of the new courts.

 Tournament Directors Report:

  .  Waiting for clearance to hold tournaments

  .  May schedule a night tourney during the summer

Treasurers Report:

   .  Have reviewed the books

   .  Meeting scheduled at the bank for January 12 to change signatories.

   .  Eric to review potential needs, uses, logistics of getting a P.O. box,

      And report back to the BOD.

Communications Report:

  .  191 memberships paid for 2021. 

  .  Suggest that in future years all checks be deposited as received.

Open Discussion:

   .  Should we have a Lost & Found for tennis only?

BOD Meeting Minutes, March 8, 2021

Present:  Steve Bringman, Helen Berott, Joel Baynes, Patti Kingston.

The meeting was called to order by President Steve Bringman.

Presidents Report & Announcements:

  .  Fences up on new courts.  Can’t put down final surface until low temps are

      At least mid-thirties.

  .  Will buy new balls for ball machine.

  .  Joel and Steve will set up guidelines for ball machine practice with

     Limited participation and reservations.

  .  Curator has been very responsive when called for problems on court.

  .  Val Launtug will try to organize a ladies drop in similar to the men’s.

  Treasurers Report:

   .  We now have ATM cards to use for LHTG expenditures

   .  Accounts in good order with no expenses.

   .  Full report distributed to BOD and on file

Communications Report:

   .  Presently have 261 members in LHTG for 2021. 

   .  By laws and Operating Procedures were approved by COCC on February 2

      And approved by HOA Board on February 22, 2021.

   .  An article will be in the March Compass highlighting Jack Williams

      And his contributions to the Tennis Group.  Thanks to Sarah Solberg for

      Assisting in providing information for this article.

Social Committee Report:

   .  Patti will set dates and make reservations for annual Holiday lunches.

      Also will reserve Presentation Hall for year-end membership meeting.

BOD Meeting Minutes, June 28, 8, 2021


Present:  Steve Bringman, Helen Berott, Cathy Vaillancourt, Dennis Vaillancourt, Sarah Solberg, Joel Baynes, Eric Butler, Patti Kingston.

 

The meeting was called to order by President Steve Bringman at 1pm.

Communications Report:  We continue to get new members joining our group. We are currently up to 228 paid members for 2021.  Articles for the July Compass and Sun City News have been filed. 

Social Chairman’s Report:  Women’s holiday luncheon scheduled at Turkey Creek on December 10.  The men’s will be December 8 at Old Town Pizza.  Meetings scheduled with the Meridians catering manager as well as other local restaurants to get costs for food & beverage for upcoming events.

Finance Director: After reviewing LHTG tax returns going back many years, and requiring much documentation, the Ca. Franchise Tax Board has granted us tax exempt status.  The bank balance is currently over $6,000, and YTD expenses are less than $400. That should be enough to cover the events planned for the remainder of the year. We expect to have a full slate of events in 2022, and based on that, it is recommended that we go back to the pre-Covid dues of $15/person. Online payment of annual membership dues is being investigated but the Board will need to approve.  We are getting a P.O.Box for LHTG mail.

Tournament Directors:  We will have a Welcome Back Tournament scheduled for September 23 and our annual Oktoberfest on October 21.  We may also have a Holiday Tournament in December.
Presidents Report: Courts 1 & 2 are reserved for Drop In for all residents from 8-10am on Wednesdays and Saturdays.  If one of the courts is not being used for drop in by 8:30, it is available for anyone to use by signing up on the board. Ball machine practice is every Saturday from 8-9:30am.  We need more volunteers to help run the machine.  This is open to all Lincoln Hills residents.  A workshop will follow the Board meeting to discuss ways that LHTG can expand its membership and better serve the tennis group and the community as a whole. 

 

New Business:  There has been much discussion about whether or not to put up the wind screens on the new courts 5 & 6.  It was agreed that the main issue is the ability to track the ball, not protection from the wind.  In a close vote by all present, it was decided that the wind screens should be installed.  Steve will request Maintenance to put them up as soon as possible.

BOD Meeting Minutes, August 16, 2021

Present:  Steve Bringman, Helen Berott, Cathy Vaillancourt, Dennis Vaillancourt, Joel Baynes, Eric Butler, Patti Kingston.

 

The meeting was called to order by President Steve Bringman at 1pm.

Communications Report:  The web site has been updated and is current.  Articles for September publications are complete. Continuing to publize ball machine practice and September tournament. 

Social Chairman’s Report:  Menu options with costs reviewed and plan for refreshments for September tournament finalized. Cow Com will cater.

Finance Director: On line payment of annual membership dues is still being investigated.  Pay Pal and Vendmo are both possibilities.  We now have a box at the post office to receive mail:  P.O. Box 1535.  This will be used to receive tournament entries as well as annual dues.  Eric and Steve have keys and will share responsibility for picking up mail.  Eric again recommended that we go back to $15 annual dues for 2022.  We are in good shape financially.

 Tournament Directors:  Plans are well under way for the September 23 Welcome Back tournament.  Flyers and entry forms are complete.  Communications will send out flyer to all LHTG members on August 23 and entry forms will be sent out August 30.  A reminder will be sent to all on September 11.  Entry fee of $10 will be supplemented by LHTG to cover all costs.  This tournament is open to members, but not guests.

At Large Director Baynes Report:  Volunteer operators for Saturday ball machine practice are needed for first two Saturdays in September.  We’re averaging about a dozen participants each Saturday. Pre-Covid we averaged about double that. In October we may try also having a week-day practice.
Presidents Report: Year-end membership meeting is set for December 6 in Presentation Hall at Kilaga Springs.  We need to recruit new Board members for 2022.  Approval has been received for allowing league play to start at 10am on our courts on four Thursdays in the Fall for a ladies SATA team. Three courts will be used on 9/30, 10/14, 10/28 and 11/11.
