General Membership Meeting, Tuesday, December 9, 2016


President Bob White called the meeting, held in Presentation Hall at KS, to order at 2:00 P.M.
Over 75 members attended.
Minutes from June 30, 2016, semi-annual meeting were approved.

Following the introduction of 2016 BOD directions, each then presented a power point slide of their job descriptions.

Financials: Diane McLaughlin reported a November 30th, balance of $4872.05. There are several December invoices to be paid; but LHTG is in good financial status. LHTG benefitted from Tournament sponsors’ contributions. Sponsors were: Lyon Realtors/Jay Cheek and Vitek Mortgages/Art Sims ($300.00); Mr. Pickle’s—Singles’ and Mixed Doubles’ Tournament (40% discount on lunches); Schaack Physical Therapy—Oktoberfest (tee shirts). We thank each of them for their contributions.

Tournaments: David Mateer (unable to attend.) Bob White reviewed the 2017 tournament dates that David has in place. (tentative dates to be posted to sclhtg.com). Thanks to all who worked very hard to make 2016 tournaments fun and competitive---it was a great season.

Social: Pam Geernaert (unable to attend) and Polly Smith. Polly mentioned that Pam has confirmed the tournament dates with SCLH to insure LHTG has use of the pavilion for those events. The men’s (Thunder Valley buffet) and ladies’ (Catta Verdera) Christmas luncheons got high compliments on the venues and the food. Attendance at each were higher than in past—47 and 87—respectively. A subsidization of $5.00 was given bringing the cost to $10.00 for men and $21.00 for ladies. She thanked all the “elves” who had helped at the tournaments with food serving, cleaning, etc.

Communications: BJ White reported that LHTG membership rosters are sent monthly and current members should look for “highlighted in yellow” names indicating new members. Also to include them in your group to get them get established. All emails—from BOD directors—are sent by Communications—i.e. social, tournaments, monthly meeting minutes, etc. News articles are sent monthly to COMPASS and Sun Senior News. LHTG has been informed that we get a “free” ½ page ad in the COMPASS. It will appear in January 2017’s issue. Online voting for 2017 slate of officers received 120 “yeses”. A quorum, 25% of 309 membership or 77 is needed to elect the slate of officers. As of today, we have 311 members. We can do better. Suggestion is to ask new players to join and explain the benefits, etc. Most are pleased to be asked and included!!

President Bob White introduced Chris O’Keefe, SCLH’s Executive Director who talked about the caring of the tennis courts. The Facilities & Maintenance Department clean the courts on a weekly basis; replace light bulbs; replace nets and more.
They do a good job taking care of us and we thank them. (Cesar Orozco F & M Manager was unable to attend.)
Chris also mentioned his desire to keep all SCLH residents informed of what is going on in our community. Solar has been installed at OC parking lot and in spring of 2017, it will be done at KS parking lot. Solar is already installed at both pools. Also mentioned issues causing dues to increase—salary increases, insurance, etc. In comparison, Lincoln Hills is still one of the best Del Webbs in the country.

The 2017 LHTG Board introduced by Bob White are: President: Pam Flaherty; Finance: Cathy Garrison; Tournament: David Mateer; Social: Pam Geernaert/Polly Smith; and Communications: Barbara Davis.
Bob White stated that he will continue as LHTG’s Web Master. Also, Rene Fuog has agreed to serve his second year as USTA co-ordinator, court reservations and ball machine. A big THANK YOU to both. Bob also listed and thanked all who had helped LHTG during 2016 and the areas of their help. (see website for the power point slides for more information)

BOD meeting December 5, 2016

 
Meeting called to order at 2:00 P.M. by President Bob White.
Those present: Diane McLaughlin; Polly Smith; Bob & BJ White. Absent: David Mateer and Pam Geernaert.
Guests: Pam Flaherty, Barbara Davis and Cathy Garrison.
November minutes were amended and approved as follows:
Christmas luncheon costs should be: Men--$15.00, not $6.00 and Ladies--$21.00, not $28.00. After applying the subsidizing of $5.00, cost is $10.00 and $21.00, respectively.

FINANCIALS: Diane McLaughlin reported bank statement amount $4872.05 as of November 30. Approval of November paid invoices was agreed by board members.

OLD BUSINESS: Bob White reported that changes at pavilion are still being worked on—not sure of completion at this time. He also stated that Chris O’Keefe will give an update of the changes in progress as well as an update of SIT Force at the December 9th, annual LHTG meeting.

CURRENT BUSINESS:
1. Tournaments—David Mateer not available. Bob White mentioned that David has the tentative 2017’s tournament schedule in place. Pam Geernaert has given the dates to Shelvie Smith for confirming use of the pavilion for those dates. Shelvie has yet to confirm the dates. Pam to follow up on this.

2. Social---Polly Smith reported that the dinner/dance, held at Beermann’s, November 10th, was very successful. Those attending reported having a great time. The Men’s and Ladies’ Christmas luncheons are all set. As of today, Dec. 5th, 87 ladies and 47 men have paid.

3. Communications—BJ White mentioned that articles and pictures are sent on a monthly basis to Sun Senior Newspaper and Compass. An email has been sent to members to attend the December 9th LHTG Annual meeting. Also sent was the most current LHTG membership roster. As of today, there are 311 LHTG members. She also reported that 120 members voted online with a “YES” for the 2017 slate of LHTG Officers. They are: President: Pam Flaherty; Financial: Cathy Garrison; Communications: Barbara Davis; Social: Polly Smith/Pam Geernaert; and Tournament: David Mateer.

LHTG gets a half page of “free” advertising and it was decided to publish in January 15, 2017’s issue.
The idea of listing the many events presented by LHTG and the advantages of being a member is to entice membership.

BOD Meeting, November 7, 2016


Meeting called to order at 2 PM, by President Bob White. All Board members were present along with one guest, Pam Flaherty.

October Board minutes were approved as emailed.

FINANCIALSs: Diane McLaughlin reported a bank balance of $5191.25, as of 10/31/2016. The increase is due to dinner/dance reservations from 70 participants, which will be paid out on November 10th. October invoices approved for payment. Diane stated that current LHTG membership is 309.

OLD BUSINESS: Bob White reported that Quick Books has been installed on Cathy Garrison’s computer as she will be the 2017 LHTG Board Financial Director.

Plaque for doubles’ tournament has been updated and can be viewed online at the website or at the Sport’s Bar. An update on pavilion changes---tennis sign-in board has been moved to right side wall (as one is facing the wall). Unfinished items include cabinetry below glass case and sign-in board and a stand-alone fixture to accommodate drop in on walk way by courts 1,2 and 8. Bob is working with Chris O’Keefe to finish these improvements.

TOURNAMENTS: David Mateer reported Fall LITT was successful. The “White Team” (captained by Bob White defeated “Red Team” (Captain Jack Williams) in very close matches. Winners from OKTOBERFEST: Bob Sanguinet—24-6; Ted Komaki—23-6; Russ Smith—22-8. Pam Flaherty—18-8; Diane Huisinga—18-10; Sue Huskey—18-11; Anke Mechelke—18-12. Prizes of movie tickets and a can of tennis balls given to winners.
Potential tournament dates for 2017 are: Valentines—Feb. 11; St. Patrick’s Day—March 16; Men’s Dbls.—April 10; Women’s Dbls.—April 13; Men/Womens’ singles—June 3; Mixed Dbls.—Sept. 21 and Oktoberfest—Oct. 28. Pam Geernaert will get these dates confirmed with Shelvie Smith, Del Webb events director.

SOCIAL: Polly Smith/Pam Geernaert reported no complaints about Oktoberfest food. Next is Dinner/Dance, Nov. 10, at Beermann’s. All is set up. Currently have 70 members to attend. Christmas luncheons for men and women, Dec. 8th—need to get flyers out to membership. Pam/Polly to get details for flyer information to BJ asap. It was voted to subsidize the lunches in the amount of $5.00 per person. Men will pay $6.00 for buffet at Thunder Valley. Ladies, at Catta Verdera--$28.50 for their buffet. Number of attendees need to be given to each venue.

COMMUNICATIONS: BJ White-- COMPASS has offered a free ½ page to be used as LHTG sees fit. It was decided to have it published in the January 2017 edition. It will give readers/potential LHTG members a view of tennis activities. —i.e. tournaments, drop-in, etc. David Mateer to do a recap of 2016 tournaments that BJ will use in the advertisement. Need to get pictures/story of Oktoberfest to Lincoln Messenger for publicity. Also, need to publish slate of 2017 LHTG officers to membership, along with
information on LHTG’s Annual meeting, to be held December 9th, at 2:00 P.M, at KS auditorium. Voting for officers can be done via emails and emails must be received two (2) days prior to the meeting. To be elected, we must have a quorum, which is 25% of LHTG membership. Additional voting, for those who did not do so via emails, can be done at door of auditorium on the 9th. We need a table set up outside of each door, with membership lists for those who want to pay their 2017 dues.

OTHER BUSINESS: Bob White mentioned that Peter Beckett videoed members during Oktoberfest. This info will be used, along with other clubs, in an ad put out by Lincoln Hills, to entice potential new residents to buy a home here.

BOD Meeting, October 3, 2016


Attendees: Polly Smith, Diane McLaughlin, David Mateer, Bob White, Pam Geernaert; BJ White.
Meeting opened at 2 P.M. by President Bob White.
September minutes approved.

Financial report by Diane: $3618.27 bank statement balance as of 9/30/16. Approval of paid bills in September was given. Diane mentioned that the tournaments are paying for themselves. As of October 1st, there are 308 LHTG members. Bob White will be ordering a copy of “Quick Book Pro” for LHTG’s future Financial Directors. We will purchase the 2015 version at a cost of $136.00.
The plaque for Mixed Doubles will be updated to reflect winners from 9/29/16 tournament.

Chris O’Keefe told Bob that the plaques will be positioned to enable close-up viewing. Per Cesar, Maintenance Mgr., the Sports Pavilion will be painted. Two file cabinets will be installed—one under the kitchen windows to replace the current counter and the other to the right side of ladies restroom beneath the phone. The sign in chalkboard along with an enclosed glass case will also be positioned in this area. The cabinet counter will be used for displaying tennis event flyers, entry forms, etc. A sign designating the area for TENNIS will also be installed. A stand alone residence drop-in tennis stand is also being built to be positioned between walkway of courts 1-2 and 8-9. And, lastly the leaking misting pipe on the edge of pavilion is being repaired.

Tournament Director, David Mateer reported that Mixed Doubles was successful. Forty players participated. All reported having fun and that it was well run. He also mentioned that 49 signed up and are playing Fall LITT. Each teams’ players are very closely matched as to their playing level—making the matches fun and competitive. Next and final 2016 tournament is the OKTOBERFEST, Saturday, October 29th. This tournament is sponsored by Mike Schaack Physical Therapy and this is the 8th consecutive year for his sponsorship.

Pam Geernaert/Polly Smith, Social Directors, will be serving sauerkraut, potato salad, brats with all the trimmings, along with homemade cakes for dessert. November 10th, is LHTG Dinner/Dance at Beermans, Lincoln. Tom Fretty will be providing the music from 6 to 9 P.M. at a cost of $525.00. A choice from 3 different menus will be available to attendees, at a cost of $28.00 per member or $40.00 for non-LHTG members. A flyer will be sent with all the information. Beermans MUST have a total number of attendees by November 2nd. The room has a 100 seating capacity.

The LHTG Christmas luncheons for men and ladies, held December 8th, were discussed. Much more on these events will be held at the November 7th meeting.

BJ White, Communications, reported that the next LHTG membership roster, along with Oktoberfest flyer will be sent out this week. Also, she will contact Lincoln Messenger Newspaper about doing an article on Oktoberfest along with some pictures. Barbara Davis will be Communications Director in 2017.

Bob White reported that he had attended a SIT (Strategic Initiative Task Force) meeting held at Orchard, September 27th. Several issues were discussed; but most importantly at this stage is that all 11 tennis courts will remain intact. Additional Sports Pavilion parking spaces will be made by removing current trees/grass areas. Other ideas were presented; but they are merely in the “thinking stage” for now.

Association commissioned Peter Beckett to do a 3-5 minute video of each sports group to be used as advertisement in Associations website, etc. Bob & BJ will meet with Peter October 4th to discuss ideas for tennis video.

We are entitled to a free half page ad in the COMPASS. After some discussion, it was decided to take advantage of this offer for January 2017’s COMPASS. The idea is to list the Valentine’s Day and St.Patrick’s Day tournaments to entice players to become LHTG members.

BOD Meeting, September 6, 2016


Meeting called to order by President Bob White at 1:35.
Present: Bob & BJ White, Diane McLaughlin, Polly Smith. Absent: Pam Geernaert and David Matter. Guest: Miguel Cuevas
August minutes approved as emailed to directors.

Financial report given by Diane McLaughlin and August payables approved. As of September 1, there are 306 LHTG members. She reported 51 players have registered to play in the Fall LITT which begins September 13th. OLD BUSINESS: Diane was unable to attend the July 19th meeting that explained the Clubs filing tax returns. She will consult with those who were able to attend for details. It was voted by the BOD to purchase “Quick Books” software for future LHTG financial directors’ use. Cost is estimated to be under $200.00.

Bob White reported the responses he received from Chris O’Keefe pertaining to various pending projects at the pavilion. Namely: moving tennis check-in board to right side of ladies restroom; install cabinetry on same side for storage; provide glass case for tennis information—i.e.—court usage calendar; tournament announcements, etc.

NEW BUSINESS: Miguel (tourney director in Mateer’s absence) discussed format for LITT Captains to use in their match lineups. A planning session for all captains will be held at pavilion, at 10 A.M. , Thursday, September 8th. Teams will be chosen according to ratings to assure the matches will be competitive. There will be women’s doubles; men’s doubles and mixed doubles. Format will be 3 sets. Players should bring food and drink to share after playing at the pavilion. If enough funds at end of season, a small party will be held for all players.

Polly Smith, Social, reported that food for Mixed Doubles is all in place. Mr. Pickle’s will provide the lunch. Also included in the lunch bag will be a coupon to be used at Mr. Pickle’s. A non-refundable $600.00 check has been issued to Beermans for the November 10th LHTG dinner/dance. Food cost is $30.00 per person. It will be a no-host bar. A decision at October’s meeting will determine if LHTG will subsidize the dinner cost. The music and cost for dancing has not yet been finalized. Will be done by October meeting. Polly and Pam are in process of finalizing details for Ladies’ luncheon at Catta Verdera and Mens’ at Thunder Valley.

Bob White mentioned that we were made aware, by Jeannine Balcombe, that each club is entitled to a free ½ page in Lincoln Hills COMPASS. Diane mentioned it might be beneficial to use it in December and list all of 2016 LHTG highlights to entice membership for 2017.

BOD Meeting, August 1, 2016


Meeting called to order at 1:30 PM, by President Bob White.
Present were: Pam Geernaert; Polly Smith; BJ White; David Mateer and Bob White. Absent / excused was Diane McLaughlin.

July Minutes were approved as presented.

Financials were presented by Bob White in Diane McLaughlin’s absence. Balance as of July 31 was $4226.95. The BOD approved payment of July invoices. The results of the July 19th meeting discussing tax filing for clubs’ procedures was tabled to next meeting. Also tabled was decision to purchase or not to purchase Quick Books’ software for LHTG Financial director’s use.
Discussion was held on need of a board or enclosed glass case on which to post the monthly LHTG court usage events. This is needed to alert players of reserved courts’ time so they can avoid signing up for that court and getting bumped early. The board needs to be close to sign-in chalkboard. Bob White and David Mateer will pursue this with Chris O’Keefe.

Upcoming events---FALL LITT and MIXED DOUBLES—flyers are posted on website, in pavilion enclosed glass cases and LITT flyer has been emailed to members.
LITT begins Tuesday, September 13, at 6:30 P.M. LITT IS OPEN TO ALL LINCOLN HILLS’

RESIDENTS. Mixed Doubles will be held September 29th. Flyer to be emailed mid-August. An update by

Social—Pam Geernaert and Polly Smith was presented. They are set with the food for Mixed Doubles. Will provide breakfast snacks and lunch will be provided by MR. PICKLES. Will meet with Beerman’s personnel in a few weeks to finalize plans for LHTG dinner/dance. Christmas luncheons for men (Thunder Valley) and women (Catta Verdera) are all in place.

Communications—BJ White—is to contact Lincoln Messenger and provide articles on Mixed Doubles and Oktoberfest. Will send most current LHTG roster after August 9th.
We have 2 new members and membership now totals 302.

BOD Meeting, July 12, 2016


Those attending: Polly Smith, Pam Geernaert, David Mateer, BJ White, Diane McLaughlin, Bob White.

Meeting called to order at 2:00, by President Bob White.
June 6th minutes approved.
Diane, Finance director, gave the treasurer’s report—June 30 balance of $4256.86. Board approval was given for payment of June’s invoices, totaling $519.82.

LHTG Semi-Annual meeting was held June 30, at KS, and was attended by over 60 members. Each LHTG Board Member gave an update of their positions. Pete Saco, Strategic Initiative Task Force Chairman, gave an informative synopsis on the status of this group. May things are on the table with much more studying of each to be made before any final recommendations are made.

Bob reported that he had met with Chris O’Keefe pertaining to the status of upgrades at Pavilion. Areas of changes are: a new sign-in chalkboard; USTA flags re-hung on court 2; and removal of old cork bulletin board. Also 2 new glass enclosed cases –one in the pavilion and one on wall facing parking lot. They are accessed with a key.
Winners’ plaques are now in the bar, above the mirror and as soon as a shelf gets built, they will be more prominently displayed.
Bob also met with Deborah McIlvain to discuss USTA and LITT issues.
LHTG Board is considering taking Saturday morning drop-in courts and time slot, for Fall LITT. And, opening LITT to ALL residents of Sun City. Both Deborah and Chris are in favor of this idea.
The USTA issue of taking courts to start matches before 11 due to heat, was not looked upon as fair to all Sun City residents. The current published court rules pertaining to USTA start time of 11 A.M. will remain. Deborah also mentioned that the tennis group needs to get information about drop-in, LITT, and other information in the Sun City Directory. The 2016 copy is already printed. Need to get this done and in the 2017 issue.

David, Tournament Director, reported 21 players participated in the Singles Tournament. He was pleased with the turnout. Mixed Doubles Tournament scheduled for September 29th, Flyers will be posted on web site as well as sent to LHTG members via email. Mr. Pickle’s will sponsor this event. Bob to contact Mr. Pickles regarding coupons for gifts. Mike Schaack, Schaack Physical Therapy, has confirmed he will again sponsor OKTOBERFEST, October 29th.
David is sending out a survey pertaining to which time of day to hold FALL LITT. When results are compiled he will determine if it is held in the evening during the week or on Saturday morning in lieu of drop-in. In that case, LITT will be open to ALL Sun City residents.
LITT will begin mid-September.

Social Directors Pam and Polly reported that the date for LHTG dinner dance is still being worked on with Beermans. Confirmation on Ladies and Men’s Christmas luncheons December 8th are all set. Ladies are at Catta Vedera and Men at Thunder Valley Casino.
Discussion on subsidizing the Dinner/Dance was held. No conclusions—will decide at August meeting. There is enough money to do this.

BJ, Communications Director, reported she writes monthly tennis articles for publication in COMPASS and SUN SENIOR NEWS. Will try to get an article in LINCOLN MESSENGER Newspaper, using OKTOBERFEST as an event to report on. Most current LHTG roster emailed July 3 to all members.

Diane mentioned that LHTG needs to purchase ‘Quick Books’ for continuation of finances from year to year as new Financial Director takes over from past officer. Diane to check cost of this purchase.

Membership Meeting, June 30, 2016


Meeting was called to order at 1:30 P.M. by President Bob White.
Membership Meeting Minutes from 12/15/2015 were approved.
Financials: Diane McLaughlin, Treasurer presented up to date information and reported we have a balance of $4441.86. She mentioned that all SCLH clubs are being required to file tax returns. She will be attending a meeting July 19th for more details.
Tournaments: David Mateer listed winners from past tournaments. Mentioned upcoming events: Mixed Doubles, Sept. 16th, sponsored by Mr.Pickles; Fall LITT; and Oktoberfest, October 29th, sponsored by Schaack Physical Therapy. Some discussion about LITT being held during day, possibly Saturday in conjunction with Drop-In or in the evening. No decision was reached—need to do more research.
Social: Polly Smith and Pam Geernaet are busy setting up details for the Dinner/Dance. Working with Beermans on date, menu, music, etc. December 8th, is the date for the Christmas luncheons. Ladies will be at Catta Verdera and men at Thunder Valley. A future non-tournament social event is also being worked on. Details will be forthcoming.
Communications: BJ White –LHTG membership rosters will be emailed monthly. Other emails will be sent for LHTG newsletters, tournament flyers and results; along with special LHTG events. She reminded all to put return mail address stickers on racquets/tennis bags. If you find an article, take it to OC lost/found department. If you lost something, check at OC lost/found department. Cannot be certain the article belongs to LHTG members as many others use sport’s facility; hence to send email each time someone lost or found an item would cause too many emails to be sent. LHTG articles appear monthly in Compass and Sun Senior News. Also eNews’ Publicity email sent by SCLH gave us good coverage during May for Coach Walker’s free tennis clinic. It generated many participants for a successful clinic!
President: Bob White introduced Pete Saco, Strategic Initiative Task Force Chairman, who gave an informative update talk on status of this group. Many things are on the table with much more studying of each to be made before any final recommendations are made. Bob then gave an update on the changes the Association is making to the tennis facilities and the Sports Pavilion. The changes are in Chris O’Keefe’s hands and will be done according to his time table. Bob made mention of the 4 current 55+ USTA teams; then, a discussion ensued on the current USTA match court reservation start time of 11A.M. versus a 10A.M. start time. Bob next presented the current SCLH rules for USTA League Play as published on the LHTG Website and elsewhere. The basic rationale for moving the USTA time to 10A.M. was
to avoid the later in the day Summer heat. It was pointed out that this would benefit the 40 resident members of USTA at the detriment of the 300 LHTG members and other residents who may want the same courts at 10 A.M. It was also pointed out that USTA team members, as SCLH residents, can sign up for a court just as any resident can at any time-- for example 10A.M. Taking the next available court for 1.5 hours and showing it to be USTA court starting at 11 would insure plenty of time for the match. Inputs from a number of people were heard. The discussion ended with Bob re-stating the current published SCLH rules for USTA League play. He noted that as they are published should continue to be followed.

BOD Meeting, June 1, 2016


Meeting called to order at 2:35 by President Bob White.
Those attending: Diane McLaughlin, David Mateer, Polly Smith, BJ White and guest Rene Fuog.
May minutes were approved as read.
Diane McLaughlin gave the financial report. As of 5/31/2016, the balance is $4546.68. The Board approved payment of May invoices. Diane reported LHTG membership is up to 299 as of June 4th. She has received an additional 8 entry forms/checks for the June 16th singles tournament.
Guest and USTA Co-Ordinator Rene Fuog requested that USTA matches’ start time be allowed to coincide with drop-in times. Those times being 9 to 11 A .M. during PST (Pacific Standard Time) and 8 to 10 A.M. during PDT (Pacific Daylight Time). USTA matches would be 11 A.M. PST and 10 A.M. PDT. This is necessary due to health issues associated with the heat and the effect it has on players. (To be discussed at Semi-Annual meeting June 30th)
Bob White mentioned that the plaques from the pavilion are now in Chris O’Keefe’s hands. Eventually they will be installed on the Sport’s Bar walls.
We are still waiting on Chris to align USTA banners on court 2; install Resident drop-in courtside display and sign-in board; and, new sign in chalkboard.
Bob has mentioned to the Maintenance Dept. that the court’s numbers are askew and need to be repositioned.
Drop-In still needs more players and we need “ambassador volunteers” to promote this event. The question was asked if the need for drop-in still exists? As long as there are residents showing up, there is a need. LHTG continues an outreach to all Residents to play tennis. We are advertising on Association’s enews, LHTG website, Compass and Sun Senior News, and Walker’s Free 6 week Clinic was well attended by interested participants. LHTG members can help with membership by asking new players to sign up. Most of the time, this is all that is needed—they are waiting to be asked and have the values of membership explained to them.
David Mateer reported that LITT was successful with 49 participants. The season lasted 7 weeks enabling the teams to play each other twice. The 8 game pro set was used and this seemed best for all involved. A lunch of sandwiches and snacks was provided during the week 7 championship playoff. Discussion about Fall LITT playing on weekends to accommodate those still working was held. One thought was to take the current drop-in time slot on Saturdays. It was suggested to bring this issue up at the semi-annual LHTG meeting to be held June 30th at KS. Sixteen players have registered to play in the Men’s and Women’s Singles Tournament scheduled for Thursday, June 16th. A reminder that the Mixed Doubles Tournament will be held September 29th; while Oktoberfest is October 29th. Bob White is working with Mr. Pickles to sponsor the Mixed Tournament ;and, Mike Schaack ‘s Physical Therapy will again sponsor the Oktoberfest.
Polly Smith asked to receive the total number playing in Singles Tournament so food and prizes can be prepared. She and Pam G. are working on other fun events for LHTG members. More details at July meeting. Bob White and Diane McLaughlin will attend the Annual Associations’ Club meeting to be held at KS on Thursday, June 9th. Anticipated items on the agenda will be discussion on Association ‘s no longer covering clubs with insurance. Also information on each club’s need to file tax returns with State and Federal, even though no tax may be due. Diane will be working on meeting these needs. Items to be on Semi-Annual meeting’s agenda were discussed. This meeting will be held June 30, at 1:30 P.M., at KS Auditorium.
Due to 1st Monday of July being the 4th, the next LHTG Board meeting will be held Tuesday, July 12th at 1:30 P.M., at the White house--1580 Summerhill Lane.

BOD Meeting, May 2, 2016


Those attending the May 2nd 2016 LHTG Board meeting were: Pam Geernaert, Polly Smith, BJ White, David Mateer, Diane McLaughlin and Bob White.
April’s minutes were corrected to state that the YTD expenses do not include the rental of Pavilion until the tournament is held. March financials and paid bills approved by LHTG Board. With these changes, the March minutes were approved by the BOD. The minutes are posted to the website.
Diane, Finance Director, reported a 4/30/16 balance of $4559.84. April expenses for two tournaments and LITT were $1116.76. BOD approved financials. Diane has received 3 memberships during April, bringing the roster to 297. Bob White reported that refurbishment of old plaques along with inscribed names of men’s and women’s doubles winners came to a total of $69.88. Motion made and approved to pay non-tournament expenses.
Courts 8 thru 11 have been patched and resurfaced. An “alert email” will be sent to members to be careful due to new surface. Association’s renovating of Pavilion not done in April; perhaps in May.

Jim Walker’s “free clinic” getting good press in COMPASS ad; eNews and the Association website. Discussion was held on methods of getting more residents to play drop-in. No conclusions at this time. Membership and Drop-in Ambassadors still needed.

Peter Schor’s Lincoln High School tennis team and LHTG players event was very successful. All participants reported their enjoyment of participating. Good Job, Peter!!

Tournament Director David Mateer reported both men’s and women’s doubles tournaments were very successful. He got many compliments on the format. It would be good to have more 4.0 participants. All players enjoyed the good food and the men really enjoyed the root beer floats!!

LITT, with 49 playing, is going well. Some have requested time change to earlier than 1:00, due to heat. It is not feasible at this time. LITT playoffs will be May 31st.
Singles tournament for men and women will be Thursday, June 16th. Mixed doubles tournament is September 29th. David mentioned that Mike Schaack, will again, sponsor the Oktoberfest.

Pam Geernaert and Polly Smith, Social Directors, reported the salads for women’s doubles and hot dogs with all the trimmings, plus root beer floats for the men were a hit with each group. Pam mentioned the rose bushes as prizes for the ladies were much appreciated. Discussion of having a taco truck for singles tournament was held. Need to wait to get exact number of participants. They are to check on pavilion kitchen availability for May 31. They need the freezer for ice cream storage to make root beer floats for the final LITT matches.
They are working on a sock hop/pot luck to be held Wednesday, July 20th at pavilion.
More details at next meeting. Thursday, June 30th, 1:00 P.M., at KS auditorium, is the date and venue for LHTG semi-annual meeting.
Pam is to check on availability of Tuesday, December 6th or Friday, December 9th, at KS, for LHTG Annual meeting. Bob White and Diane McLaughlin will attend the Association’s “clubs meeting” to be held June 9th.

BOD Meeting, April 9, 2016


Meeting called to order at 2 PM by President Bob White.
Those attending were: Bob, David Mateer, Diane McLaughlin, Pam Geernaert, Polly Smith and BJ White. March minutes were approved.
Treasurer Diane reported at March 30 the cash balance was $4311.60 which included the pavilion rentals. Total expenses to date are $2696.00. Financials and monthly expenditures approved by the board.
LHTG now has 287 paid members.

OLD BUSINESS:
Decision is to purchase a smaller squeegee for each grouping of courts. i.e. one for cts 1 & 2, etc. The large squeegee on wheels will remain on court 1; but, is mobile with the wheels for use on all courts. Per Chris O’Keefe the championship plaques will be removed from Pavilion and displayed in the Sport’s Bar. Also, the USTA metal signs will be moved to the Bar, too. A new SIGN-IN chalkboard will be moved to the pavilion wall closest to P/B courts. Also the clock, phone and glass cases will be on this same wall. A new DROP-IN display board will be positioned between courts 1 & 2 and across from 8 & 9. It will be mounted on a standalone stand. Residents as well as LHTG members are welcome to play DROP-IN. Blue USTA banners on court 2 will be positioned in the middle of the court instead of at the end.

LHTG had a booth at the “Club Expo” held in Orchard Ballroom. Bob White, along with Jack Williams “manned” the booth and reported many interested attendees. Bob also reported that LHTG is now a part of Associations website and “eNews” Coach Jim Walker held his 1st clinic on April 6th and it was very successful with 12 participating. Pam Flaherty and Miguel Cuevas helped with the clinic.

NEW BUSINESS:
Tournament Director David Mateer reported that the Women’s Doubles was very successful and enjoyed by all 30 participants. April 13th is the Men’s Doubles with a total of 40 players. Lyon Realtors/Jay Cheek and Vitek Mortgage/Art Sims will be sponsoring the Men’s tournament by donating $300.00 toward it**. We are hoping to get a sponsor for the upcoming LITT, which starts April 19th and runs for 6 weeks. Bob mentioned that the Sponsors will get recognition on LHTG website for the entire of 2016.

Social Chairs-Polly Smith and Pam Geernaert reported that the salads for women’s tournament were enjoyed by all players and the winners’ prizes of a rose bush were well received. They mentioned that LHTG owns two large coffee pots that never get used. The Board approved donating them to the Fellowship of Christian Athletes (FCA) for the SCLH parking lot sale. Proceeds of this sale go to the Lincoln and Whitney High School’s FCA programs. Pam suggested members can use ACH checks to pay for tournaments, dances, etc. This would make it easy to pay online and eliminate mailing check.

OTHER BUSINESS:
Peter Schor is orchestrating a tennis match between Lincoln High School tennis players and LHTG players to be held at SCLH’s courts, Tuesday, April 26th, from 3:30 to 5:30 PM. More information will be forthcoming.

BOD Meeting, March 7, 2016


Meeting called to order by President Bob White.

Minutes from Feb. 1st meeting were approved.

Financial Director Diane McLaughlin reported a balance, as of Feb. 29th, of $4905.00.
Costs for Valentine’s Tournament were approved. Discussion was held on reimbursing BOD members for paper and toner if they use their computer for LHTG items such as flyers, copies, etc. It was decided that a maximum of $30.00 be reimbursed for the use of private computers.
St. Patrick’s Day tournament entries to date are 29 men and 21 ladies. A flyer was sent to membership over the weekend, so more entries should be forthcoming. Tournament Director David Mateer reported on success of Valentine’s Tournament. No negative comments were heard and all were complimentary of format and efficiency Commented that many have and still are registering to play in St. Patrick’s Tournament, Thursday, March 17th.
Bob asked that a “winners’ group” picture be taken for publication.
Discussion on securing sponsors for tennis events was held. We need to work on finding potential sponsors.
Women’s Doubles Tournament is scheduled for Thursday, April 7th; while men’s doubles will be on Wednesday, April 13th. Flyers will be forthcoming. AND, Spring LITT begins on April 19th. Dave has 3 captains; but will need more. Information coming.
Social Director Polly Smith reported on Patrick Day’s tournament. Food being catered by Sterling Café. Prizes have been purchased. She commented on potential venues for Men as well as Ladies’ luncheons. Also for LHTG dinner/dance. Some exciting venues. More to report at next meeting.

OLD BUSINESS Court Squeegees—two new squeegees purchased by Association. One cost $270.00 and one cost $27.00. Both are stored on court 1. Please use each and report your preference to Bob White. Once a consensus of preference is reached, more of the desired squeegees will be requested.
New Sign-up Board at pavilion---Chris O’Keefe has informed us to design the new board and the Association will provide it. Bob would appreciate input from fellow members on the design.

Drop-In Study Group
1. Format remains the same
2. Permanent sign-in board at drop-in courts—LHTG has to provide the verbiage and the Association will provide the board

NEW BUSNIESS
Membership—Larry Magna did a great job of getting new members as well as players for the tournaments. We need others to take his place. Roster updated as of 3/3/2016 with a total of 270 members. We need to let all residents know they are welcome to play anytime— encourage drop-in. Membership and Drop-In Ambassadors are needed. We need to ask for volunteers!!
Tennis Championship Plaques removal was rumored, so a meeting with Chris O’Keefe was held. ADA (American Disabilities Act) being blamed for possible removal of plaques and other articles from wall of Pavilion. He and Bob are to meet soon to discuss all details. More info to follow after their meeting.

Minutes from January 6th meeting read and approved.

FINANCIAL: Approval of 2015 LHTG Audit Report, done by Mark Snapp, was reviewed and approved. Diane McLaughlin reported the balance of $4077.01, as of Jan. 31st. She will do detailed monthly financial statements that can be used for next year’s audit. Payment of $500.00 for use of pavilion/kitchen needed for tournaments was made.

RESOLVED 2015 BUSINESS:
1. Water faucet has been repaired.
2. A new squeegee is being purchased to compare with the current roller squeegees
3. New sign-up board needs to be white board w/ markers per Deborah Mcllvain. LHTG needs volunteer(s) to design the new sign-up board and give it to Well Fit. They will purchase it for LHTG. Chris O’Keefe prefers no additional items be hung on pavilion wall; therefore, self-standing holders for flyers will set on bar outside kitchen windows.

OTHER BUSINESS:
1. SCLH BOD approved court time change from 1 to 1.5 hrs, at the Jan. 28th meeting.
2. Court rule board on pavilion wall will be updated to reflect the time change.
3. Suggestions from members: Changing practice wall on ct. 4 to area outside of courts. It was determined this is not feasible. Also not feasible is having a live feed camera to scan courts, and appear on website, to enable players of court conditions.
4. January Newsletter—got several compliments. Members like knowing what is going on.
5. Jack Williams has agreed to checking net conditions and David Mateer will check lights that need replacing. They will report to Bob White who will contact Cesar, head of Maintenance.
6. The first meeting of improving “drop-in” study was held Sat., Jan. 28th. Members are: Russ Smith, Fred Gurnee, John McKinney, Miguel Cuevas, David Mateer, BJ White, Jack Williams and Bob White. Some good ideas that need more discussion. (see attached)
7. Bob White will meet with Jeannine Balcombe to inquire if tennis or SCLH initiated tennis drop-in format.

TOURNAMENTS:
February 13th is Valentine’s Tournament. Second flyer emailed Jan. 27th to remind members. As of today, Feb. 1st, 38 have signed up to play. David mentioned that non-playing members will be able to enjoy the food for a $6.50 fee. In the future, this comment will be mentioned on tournament flyer. To promote St. Patrick’s Day tournament, we will have flyers available to give to players to make them aware of the date and event. Discussion held as to reasons members do not participate in tournaments. Many do not like the competition—prefer social. Or are uncomfortable with level of play. Need to explore other reasons.

SOCIAL:
Polly Smith announced that there will be a soup bar along with bread. Also a chocolate fountain with fruit, cake, etc. to dip into it. And, a special surprise is promised. Prizes for 1st and 2nd places have been purchased and wrapped.

MEMBERSHIP DRIVE:
Larry Magna has agreed to be the “go to” person on website for newcomers to contact to get information on tennis. Larry will also set up a “mini-kiosk” at pavilion, two days per week, to promote membership, tournaments, answer questions, listen to suggestions and help new members feel a part of the group. He will have membership forms as well as entry forms for tournaments. BJ will send out an email with this information to membership. Need to find 5 other members who can fill in the other days. They will have the same input as Larry has so there is continuity.

OTHER BUSINESS:
1. Pickle ball has requested of Chris O’Keefe to let them use court 5 while construction is occurring on their courts. He has passed the decision to Deborah Mcllvain, who sent an email to Bob White, Jan. 22nd. She has suggested it would be a nice gesture on tennis people’s part to allow them to use the court for 2 weeks. Estimated time of completion is probably closer to March and not 2 weeks. No decision has come from Deborah as of now.
2. Dennis Ralston will be here March 1, for a $35.00 luncheon/inspirational speech. March 2nd, will find him on the courts conducting clinics. There will be two sessions, one for beginners and one for intermediate/advanced,each session lasting for 2 hours. Cost is $50.00 per person.

Financial Report—Diane McLauglin---$2988.01 as of Dec. 31, 2015. Diane will send financial form to Del Webb. It was agreed to ask Mark Snapp to do an audit of 2015 financials. Diane will work with him.
 
OLD BUSINESS

NEW BUSINESS:
Tournament Director David Mateer reported that Feb. 13th is VALENTINE’s Tournament. Tournament formats were discussed as well as securing dates for all of 2016. He will meet with Shelvie Smith to finalize dates. Social Directors, Polly Smith and Pam Geernaert will secure the pavilion for tournaments.
Bob White gave copies to each member of the Suggestions submitted by members up to this date (attached list). Discussions on resolutions were held. Getting participation to resolve the issues will benefit everyone and get many members involved. SATA fee of $75.00---after much discussion it was decided this fee should be paid by those participating in SATA matches. BJ is to talk to Marilyn Duncan to ask why this is not feasible. It’s the method for USTA players---they each pay the fee when signing up to play USTA--$42.00 each. All LHTG members should be “ambassadors” to existing tennis players and especially to new players---we need to increase our membership.
Rene Fuog will serve his 2nd year as USTA Co-ordinator and reserve courts for USTA matches. Also is in charge of ball machine. THANKS to Rene!!
Bob White mentioned he is the LHTG Webmaster. He also praised Jack Ryder, who was the webmaster, for a job well done. Jack worked very hard improving the site. THANKS to Jack. Bob is encouraging the LHTG membership to use the website as it contains all the information one needs to know about the tennis group, including the ROSTER!!
Volunteers need to monitor net heights and non-functioning court lights. Jack Williams will be asked to do the nets and David Mateer the lights.
Bob White will work with Russ Smith in ways to include more members at each level of players.
WELL FIT has invited Dennis Ralston, an International Hall of Fame Tennis Pro and Inspirational Speaker will speak during a luncheon at Orchard Ballroom, Tuesday, March 1st. On March 2nd, he will provide clinics at the courts. They have asked LHTG to promote his speech and clinics.
Future LHTG BOD meetings will be held on 1st Monday of each month, at 2:00 P.M., at Whites’ home, 1580 Summerhill Lane.
All LHTG members are invited to attend. Next meeting date is: MONDAY, FEBRUARY 1, 2016.
